Welsh ICE is looking for someone to join our team as a Receptionist & Admin Assistant!

At Welsh ICE, every day is different. We house a dynamic and supportive community of business owners based in Caerphilly. We’re looking for a passionate Receptionist & Admin Assistant to be the friendly face and organisational backbone of our vibrant hub.

You will be available to work from our Caerphilly Hub from 8:30am, Monday to Friday, but we may consider a range of part time, flexible and full time options.  

As Front of House, you will play a pivotal role at ICE, providing support across day-to-day office needs and keeping the office running smoothly. You will assist visitors by greeting, welcoming, and directing them appropriately. You will be a natural host and get a kick out of providing excellent customer service.

Responsibilities

  • Meeting and greeting members, staff, prospective customers and partners with a smile.
  • Addressing and directing incoming telephone calls, voicemails and emails
  • Facilitating and sorting all incoming and outgoing deliveries, collection, post and couriers, scanning mail to members as required
  • Supporting visitors with car parking and vehicle registrations
  • Ensuring a welcoming environment in our coworking space, kitchen and meeting rooms. Making sure they are always clean, organised and tea/coffee facilities are maintained.
  • Room set-ups for interviews, activities, client and company meetings
  • Managing and ordering office consumables (toner, stationery, tea/coffee etc)
  • Basic administrative tasks e.g. scanning and filing
  • Booking partners to conduct safety checks, PAT Testing and staff training
  • Running Identity, Background and Credit Checks using company software
  • Updating membership documents and membership database
  • Updating company reports, target sheets and monitoring documents 
  • Keeping track of all purchases at reception and reporting these to accounts
  • Engage with our community with internal communications to our members
  • Some basic social media activity including photos of spaces in use

Desirable personal qualities

  • Passion for supporting local small and start-up businesses
  • Highly organised and detail-oriented
  • Excellent interpersonal and communication skills
  • Enthusiastic and approachable – A real team player.
  • Computer literate
  • Self-motivated and work on your own initiative
  • Ability to prioritise tasks appropriately
  • Real team player with a flexible and calm approach to work
  • A background in customer service or front of house would be advantageous
  • The ability to speak Welsh is also desirable

Qualifications/ Experience
At least a year of experience in an admin, reception or customer facing role would be desirable.
